Connecting Microsoft 365 to Deep Space
Your Microsoft 365 account is how Deep Space sends email from your mailbox, keeps your correspondence in sync and puts meetings in your Outlook calendar. This guide covers the Connected accounts page where you manage it, the three permissions it carries, and what to do when your company's Microsoft 365 admin has to approve Deep Space first.
1The 60-second version
- One place for your accounts. Your email and calendar connections now live on a personal page, Connected accounts, in the profile menu (your avatar, top right). It is the same in every workspace you belong to.
- One Microsoft 365 connection, three permissions. Send email, Read inbox and Calendar are ticked off one by one on the same card. You can add calendar access later without reconnecting.
- Only you use it. Nobody else in your company can send from your mailbox or see your calendar through Deep Space. Disconnecting stops everything listed on the card.
- Some companies need admin approval. If your company only lets its Microsoft 365 admin approve apps, a workspace admin can approve Deep Space once for everyone from the Organisation approval tab, or send a link to IT.
2Opening Connected accounts
- Deep SpaceOpen the profile menuClick your avatar in the top-right corner of Deep Space.
- Deep SpaceChoose Connected accountsThe page opens on My accounts. Workspace admins also see a second tab, Organisation approval (section 7).
3Connecting Microsoft 365
- Deep SpaceClick Connect on the Microsoft 365 cardOn My accounts, the Microsoft 365 card reads Not connected until you connect. Click Connect.
- MicrosoftSign in and acceptMicrosoft asks you to pick your work account and shows what Deep Space will be allowed to do. Accept to continue. If Microsoft says an admin has to approve, see section 6.
- AutomaticBack in Deep SpaceThe card turns Connected with your email address and the date. Each permission you granted has a green tick, and Send email shows Primary for sending.
A Google account can be connected the same way for email. Calendar invites from Meeting Minutes work with Microsoft 365 only.
4What each permission does
Each row on the card is one permission. A green tick means it is granted; an empty dashed circle means it is not, and the row offers a button to grant it.
| Row | What it lets Deep Space do |
|---|---|
| Send email | Send correspondence, notices and invitations from your own mailbox, so replies come back to you. |
| Read inbox | Sync correspondence from your Inbox and Sent Items into Deep Space. |
| Calendar | Schedule meetings and send invites from Meeting Minutes, and keep the meeting record in step when the time changes in Outlook. |
| Primary for sending | The account Deep Space sends from when you have more than one connected. Click Make primary on another account's Send email row to switch. |
5Adding calendar access
If you connected Microsoft 365 before calendar features existed, your card shows Calendar without a tick. You do not need to disconnect; grant the extra permission on its own.
- Deep SpaceGrant calendar accessOn the Calendar row, click Grant calendar access. Microsoft asks you to confirm.
- AutomaticTick appearsBack on Connected accounts the Calendar row has a green tick. Your existing email permissions and your primary account are unchanged.
You can also start from the feature that needs it. In Meeting Minutes, scheduling a meeting without calendar access shows Connect your Microsoft calendar to send invites. Your entries are kept. Click Connect; after Microsoft you come back to the same dialog with what you typed.
6When Microsoft says an admin must approve
Many companies set Microsoft 365 so that only an admin can approve apps, especially for calendar access. In that case Microsoft shows its own page saying approval is needed, and nothing is granted.
When you come back to Deep Space after that, the Calendar row reads Waiting for your organisation’s approval with an Admin approval needed chip, and the card shows a box headed Your organisation may need to approve calendar access.
- Deep SpaceCopy the approval linkThe box contains a link and a Copy link button. Send the link to your Microsoft 365 admin or IT team.
- Your IT teamApprove for the companyThey open the link, read what Deep Space asks for and approve it in Microsoft (section 7, “What your IT team sees”).
- Deep SpaceTry againOnce they confirm, click Try again in the box. Microsoft now lets you grant calendar access and the row gets its tick.
7Approving Deep Space for your whole organisation
The Organisation approval tab is visible to workspace admins (people who can manage the workspace's integrations). It approves Deep Space in your company's Microsoft 365 once, so nobody is blocked when they connect. Approval is recorded for the workspace shown at the top of the tab.
If you are the Microsoft 365 admin
- Deep SpaceApprove for my organisationClick Approve for my organisation. You must be a Microsoft 365 admin, for example a Global Administrator.
- MicrosoftAccept on behalf of the organisationMicrosoft lists the permissions and asks you to accept for everyone.
- AutomaticApprovedThe tab shows Approved with the date, and both rows read Approved.
If someone else is the admin
Under the button the tab says Not the admin? Send this link to your IT team. They don't need a Deep Space account. Click Copy link and send it.
What your IT team sees
The link opens a public page, Approve Deep Space for your organisation, explaining that someone in the company asked to use Deep Space with Microsoft 365. It lists what is being approved (send email from the user’s mailbox, sync correspondence from the user’s mailbox, create and update meeting invites in the user’s calendar) and notes that access only applies after each person connects their own account, and only as that person. Continue to Microsoft completes the approval; the page then reads Approved for your organisation.
| Status | Meaning |
|---|---|
| Not approved | Nobody has approved Deep Space for your Microsoft 365 organisation yet. People may still be able to connect, if your company allows them to approve apps themselves. |
| Approved | Approved for everyone. People connect without being asked for admin approval. |
| New features need approval | Deep Space added a permission since the last approval (for example Calendar). The new row reads Needs approval; click Approve new features. |
This appears when the account used to approve is not a Microsoft 365 admin, or the request was cancelled. Ask your IT team to use the copied link.
8Needs reconnect
If Microsoft stops accepting Deep Space's access for your account, usually after a password change or when IT removes the app, the card shows Needs reconnect and explains that email (and calendar, if granted) is paused. Click Reconnect and sign in again. Nothing you set up in Deep Space is lost.
9Disconnecting an account
- Deep SpaceClick DisconnectOn the account's card, click Disconnect.
- Deep SpaceCheck what stopsThe confirmation lists everything that will stop working for this account, including the calendar, even if you only think of it as your email connection. Click Disconnect to confirm or Cancel.
Meetings you already scheduled stay in Outlook, but Deep Space cannot send updates or cancellations for them until you connect again.
10Where the old Account Connections tab went
Account connections used to be managed under Email Integration → Account Connections. That tab still works for now and shows the same cards, with a banner: This page will be removed in a future release. Use Open Connected accounts, or the profile menu, instead. The other Email Integration settings (SMTP fallback, default email settings, workflow defaults, shared email) stay where they are.
11Questions people ask
- Can my colleagues send email from my mailbox through Deep Space?
- No. A connected account is personal: only you can use it. Each person connects their own account.
- Do I need to reconnect to use Meeting Minutes calendar invites?
- No. Click Grant calendar access on the Calendar row (section 5). Your email permissions stay as they are.
- I approved, but a colleague is still asked for admin approval.
- Check the Organisation approval tab in the workspace they use. If it reads New features need approval, approve the new row. If it reads Approved, ask them to click Try again on their card.
- Does approving for the organisation give Deep Space access to everyone's mailbox?
- No. Approval only removes the admin prompt. Deep Space can act for a person only after that person connects their own account, and only as them.
- Which address do emails go from if I connected two accounts?
- The one marked Primary for sending. Use Make primary on the other account to switch.
