Your Workspace Currency in Deep Space
Deep Space works in one currency per workspace, and it takes that currency from the country in your Company Settings. This guide covers four things:
- where the country is set;
- which new documents pick up the currency, and how a new purchase order looks at the project's location first;
- what happens to an invoice that KAI cannot read a currency from;
- how the currency reaches Xero.
1The 60-second version
Your company's country sets the workspace currency. New Zealand gives NZD, United States gives USD, and Australia gives AUD. If no country is set, it is also AUD.
New documents start in that currency. You can still change the currency on any document before you save it.
A new purchase order looks at the project first. If the project's Location has a country, the PO starts in that country's currency.
Amounts are never converted. Totals are kept per currency, side by side.
| Company Settings country | Workspace currency |
|---|---|
| Australia | AUD |
| New Zealand | NZD |
| United States | USD |
| Not set | AUD |
2Setting your company's country
You only need to do this once per workspace. It is done by an admin.
- Deep SpaceOpen Company SettingsGo to Admin → Company Settings.
- Deep SpaceChoose the countryIn the Contact Details card, set Country to where your company trades: Australia or New Zealand.
- Deep SpaceSaveClick Save Changes. From now on, new documents start in that currency.
A New Zealand company with no country set will see AUD on new documents. Set the country first; it is the one setting everything else follows.
3Currency on a new purchase order
A purchase order belongs to a project, so its currency looks at the project before the company. When you click New Purchase Order, the Currency field starts at the first answer from this list:
- AutomaticThe project's Location countryThis is set in Project Settings → Locations → Country. For example, an Australian company running a New Zealand project can set that project to New Zealand, and its purchase orders will start in NZD.
- AutomaticOtherwise, your company's countryMost projects have no Location country, so their purchase orders use the workspace currency.
- Deep SpaceChange it on the order if you need toThe Currency field on the purchase order offers AUD, NZD and USD. Whatever you choose is saved with that order.
Sometimes the Location country says one thing and the project's street address and state say another. In that case Deep Space follows the address. This is the same rule it uses for the GST rate on the order, so the currency and the GST always agree.
4Other new documents start in your workspace currency
Every other form that asks for a currency starts at your workspace currency. You can change it before saving. This includes:
- new Price Lists
- the Initial Estimate on a procurement package
- subcontractor invoices you upload
- Delegation of Authority approval thresholds
- manually created approval requests
Documents you have already saved keep the currency they were saved with. Changing the company country later does not rewrite them.
5Supplier invoices and the Invoice Register
When a supplier invoice arrives, KAI reads the currency printed on it. When the invoice shows no currency — a plain "$" is common — Deep Space treats it as your workspace currency. That applies everywhere the invoice appears:
- the row and the totals in the Invoice Register;
- the Pending card;
- the Currency filter;
- the CSV export;
- the record created when you convert the invoice.
If KAI picked the wrong currency
- Deep SpaceOpen the invoiceClick the invoice's row in the Invoice Register.
- Deep SpaceCorrect the Currency fieldIn the record details, type the three-letter code, for example NZD. Do this before you convert the invoice, because the converted record keeps the currency it was created with.
6Subcontracts and the Subcontractor Portal
A subcontract is always valued in your workspace currency. That is the currency you see in each of these places:
- the project team's Supply Chain;
- a subcontractor's Project History in the directory;
- approval emails for subcontracts and their variations;
- the Contracts & Orders tab of the Subcontractor Portal.
Your subcontractors therefore see the same currency you do.
7Sending documents to Xero
When Deep Space pushes a document to Xero, it sends the currency stored on that document. This applies to purchase orders, supplier invoices, subcontractor bills, head contract claims and credit notes.
If a document has no currency of its own, Deep Space sends it without a currency. Xero then uses your organisation's base currency, which is NZD for a New Zealand organisation.
Your Company Settings country should match your Xero organisation's base currency: New Zealand for an NZD Xero file, Australia for AUD.
A document in a different currency reaches Xero as a foreign-currency document. That only works if your Xero plan includes multi-currency.
8Common questions
We changed our country to New Zealand. Why do older purchase orders still say AUD?
A saved document keeps the currency it was saved with; changing the country only affects new documents. To fix an older order, open it and change its Currency field.
Why does the Invoice Register show two totals?
Deep Space never converts between currencies. When the list holds invoices in more than one currency, the Total row shows one line per currency.
Can a single project use a different currency from the company?
For purchase orders, yes. Set the project's Location country (Project Settings → Locations) and new purchase orders on that project start in that country's currency. Other documents follow the company country, and you can change the currency on each document.
Which currencies does Deep Space support?
AUD, NZD and USD are offered on purchase orders, price lists and approval thresholds. KAI records whatever currency is printed on a supplier invoice, even if it is not one of those three.
